How to create a technical requirement of graphic design for a major event

Let’s suppose you’re preparing major conference and you need to: prepare graphics for magazine advertising, place billboards and banners around the city, create corporate calendars, give all the participant personal badge and event programs, prepare press wall for meeting and install advertising banners with the partners on stage.

If you’re not going to mess everything up you need to prepare technical requirements document for graphics design.

The graphic technical requirements document should contain:

1. A basic text information which is used all over advertising materials.

For example, it’s better to indicate: the conference name, date and place of the event, list of speakers, conference plan, description part, place where the tickets are sold, partners’ logos, etc.

2. Full list of advertising spaces you might need for promotion.

The format of this list you can do it your own way, it can be a checklist or a table. You should state all the sizes for each advertising space and it’s better to add several checkmarks. The first mark will show you that graphic design is ready, the second is that the advertising layout is printed and placed.

3. Print technical requirements

Perhaps during preparation for a large event, you will print layouts in different companies. The layout for a magazine will be printed on the magazine’s equipment, billboards and banners will be printed in an advertising company and presentations and calendars you will print in a printing center. Different equipment and materials are used for different advertising spaces, that’s why every printing company has its own print technical requirements. If you’re going to print your designs in different companies it’s better to get all the requirements. It will simplify the work of the designer and will lead to the best result.

After the technical requirements document is ready you should prepare a basic design layout. It’s better to take the biggest and the most popular advertising space for the basic design. If you have 70% of vertical layouts and only 30% horizontal you’d better take the biggest vertical layout not to lost image quality after resizing.
